How Much Does a Charter Bus Cost?

Estimating the cost of a charter bus involves various factors, so it’s best to call for a personalized quote instead of trying to guess.

Here are the factors that determine the final cost:

  • Trip Distance: Longer trips typically cost more, with pricing based on either overall time or total miles driven.
  • Duration: Multi-day trips typically cost more than single-day trips, so have an itinerary ready when booking.
  • Location: Pickup and drop-off points impact costs due to bus availability and travel time.
  • Amenities: Standard features on most vehicles include Wi-Fi, Restrooms and plush seating.

**Remember, additional expenses like tolls, parking, driver accommodations, and tips also factor into the final cost.

Every situation is different, so we need more information about your specific trip to give you an accurate quote. But here are a few examples of what goes into determining your trip cost.

Sample Scenarios for Charter Bus Bookings in Maryland, D.C. and Virginia:

Scenario A:

An administrator from an Ellicott City, Maryland middle school would like to rent full-size charter buses for a field trip to the Aquarium in downtown Baltimore City. The seventh-grade students will go to the Aquarium for an educational tour in the morning and finish the day with a tour of Fort McHenry. They plan to leave the school by 8 a.m. and return by 4 p.m.

There are 100 students in the seventh grade and they are accompanied by 9 teachers. They will need two 56-person charter buses. The Aquarium does not charge buses for parking, but they will still need to tip their driver.

How Much Would This Trip Cost? $ – $$$$$
$$-$$$ – This trip would be a moderately inexpensive trip, with the main factor driving the cost being that there are two buses, and therefore two drivers. The total trip time is only 8 hours – it’s a simple to and from in a single day.

Scenario B:

A software company wants to book shuttle services for employees to attend a 2-day conference in Ocean City, Maryland, with a few teambuilding stops on the Eastern Shore along the way. The company is headquartered in Northern Virginia, and most of their employees live within 15 miles of the office. They’ve requested a minibus for 22 employees that will go from their headquarters in Reston, VA to Ocean City and back 2 days later. They will need the minibus for 3 days, there are no fees for parking, but they will have to pay for hotel accommodation for their driver and may give the driver a tip.

How Much Would This Trip Cost? $ – $$$$$
$$-$$$ – Compared to the Aquarium field trip above, this charter would at first seem a lot more expensive. More miles and overnight accommodations for the drive would seem to make this price seem higher. But remember we only need one minibus. Even with the driver’s accommodations and this being a multi-day trip – the price will most likely come in very close to the Aquarium trip.

Scenario C:

A group of 34 friends from Washington, D.C. wants to attend a concert at Merriweather Post Pavilion in Columbia, Maryland. They’ve decided to pool their money and charter a bus from D.C. to the concert, returning later the same night. They’ll need a full-size charter bus, since they have too many people for a mini-bus – but perhaps they can invite even more friends, driving the per-person cost down considerably.

How Much Would This Trip Cost? $ – $$$$$
$ – Because they’re traveling less than an hour away, and there is no overnight included – their cost is only the Martz Charter Bus minimum booking of 7 hours. Split between 35-40 people, these friends will be making a responsible choice, have a lot of fun traveling to and from the concert, and the round trip cost-per-person will be less than half of a one-way uber trip.
